How to Get a SAPS Police Clearance for Your Vehicle in South Africa (2026 Guide)

If you've replaced your engine, bought a second-hand vehicle, want to sell or export your car, or plan a cross-border trip into a neighbouring country — a SAPS vehicle police clearance certificate is almost certainly required before you can proceed.

Many vehicle owners lose days or even weeks because they arrive at SAPS with incomplete documents, the wrong form, or a vehicle that hasn't been microdotted. This step-by-step guide covers exactly what you need, what happens during the inspection, and how to avoid the most common delays.

What Is a SAPS Vehicle Police Clearance Certificate?

A SAPS police clearance certificate is an official document issued
by the South African Police Service confirming that your vehicle —
its VIN, chassis number, and engine number — has been physically
inspected and is not flagged as stolen or linked to criminal
activity on national databases.

You need a SAPS police clearance when:

🔧  Replacing or changing your vehicle's engine
🔧  Selling or transferring ownership of a vehicle
🔧  Exporting a vehicle from South Africa — permanently or
    temporarily
🔧  Taking your vehicle across the border to SADC countries
🔧  Re-licensing a rebuilt or assembled vehicle
🔧  Clearing a previously stolen and recovered vehicle
🔧  Registering a vehicle with a new VIN number

Documents You'll Need — Don't Arrive Without These

Missing even one document is the most common reason for delays.
Prepare everything before you go:

✅  1 — Certified copy of your ID
        The registered owner's Identity Document

✅  2 — Original vehicle registration certificate (NaTIS / logbook)
        Copies are not accepted

✅  3 — Proof of address
Utility bill or bank statement, dated within the last
        3 months

✅  4 — Microdot certificate
Mandatory for all vehicles built before 1 September 2012.
If your vehicle does not have microdots, you need to have
them fitted before SAPS will clear it.

✅  5 — Supporting documents specific to your case
For example: original engine invoice for engine changes,
police case number for stolen/recovered vehicles, or
        workshop invoices

✅  6 — SAPS 263 form
The Request for Police Clearance form, obtainable from
your nearest motor vehicle registering office

The Step-by-Step SAPS Police Clearance Process

Step 1 — Prepare Your Documents

Gather everything listed above. Check that your proof of address
is current within 3 months and that your vehicle's microdots are
fitted and registered. If you are unsure about microdots, contact
us — we install and register them as part of our service.

Step 2 — Visit the SAPS Vehicle Clearance Unit

You must take your vehicle to a SAPS Vehicle Identification Section
(VIS) or Clearance Unit — these are specialist units separate from
your local police station. Operating hours vary and queues can be
long, especially early in the week.

This is where Fast Track Auto Solutions saves you the most time:
we collect your vehicle from your home or workplace, take it
directly to the right SAPS unit, and return it to you the same day.

Step 3 — The Physical Inspection

SAPS officials physically inspect the engine number, VIN, and
chassis number on your vehicle. These are cross-checked against
national and international databases. If everything matches and
no flags exist, the process moves to certificate issuance.

Step 4 — Certificate Issued & eNaTIS Updated

Once cleared, SAPS issues the police clearance certificate and
updates your vehicle's record on eNaTIS. Depending on queue times
and case complexity, this typically takes 2–5 working days from
submission.

Step 5 — Finalise at the Registering Authority (where applicable)

For engine changes and similar updates, you then visit your local
motor vehicle registering authority to receive an updated
registration certificate and licence disc reflecting the new
details. We handle this step for you too.

How Long Does a SAPS Police Clearance Take?

⏱  Standard case — 2–5 working days once the vehicle is at SAPS

⏱  The biggest variable is SAPS queue times, which vary week to
    week and station to station

⚠️  Incomplete documentation resets the clock entirely — getting
your paperwork right the first time is critical

If you have a deadline — an export shipment date, a cross-border
trip, a vehicle sale — contact us as early as possible. We work
to the fastest timeline achievable within SAPS constraints.

Frequently Asked Questions — SAPS Vehicle Police Clearance

Can I drive my car while waiting for the police clearance?

If your vehicle records are incorrect — for example after an
engine change that has not been updated on eNaTIS — driving could
create problems at roadblocks, border posts, and in insurance
claims. We advise confirming your specific situation with us
before driving.

❓  Does every vehicle need police clearance to be sold?

Yes. A SAPS police clearance certificate is required for the
transfer of ownership of any vehicle in South Africa. Without it,
the licensing authority will not process the transfer.

──────────────────────────────────────────

❓  My vehicle does not have microdots — is that a problem?

Yes. For vehicles built before 1 September 2012, microdotting is
mandatory for any SAPS police clearance. Vehicles manufactured
from September 2012 onwards were fitted with microdots at the
factory. If yours needs them, Fast Track Auto Solutions installs
and registers microdots and can issue your microdot certificate.

❓  What if SAPS finds an issue with my vehicle's history?

SAPS will advise on the next steps based on the specific issue.
Common problems include mismatched engine numbers or a previous
stolen flag. We have 15 years of experience navigating these
situations and can guide you through the resolution process.

My vehicle was stolen and recovered — is the process different?

Yes. A recovered stolen vehicle has an S-mark on the SAPS system
that must be formally removed by the investigating officer before
clearance can be issued. We handle the entire stolen and recovered
process — see our dedicated guide for full details.

❓  Do I need to be present at the SAPS inspection?

Ideally yes, but you can appoint an authorised representative.
When you use Fast Track Auto Solutions, we attend on your behalf
— you simply hand over your documents and we take care of the rest.
